Understanding Absentees and Priority Levels
How Sermfy identifies absentees, calculates priority automatically, and what each status means.
How someone becomes an absentee
Sermfy watches your attendance records automatically. After each service is completed, the system checks how many services in a row a member has missed and compares that against your church's Absence Threshold (set in Follow-Up, then Settings). Once a member crosses that threshold, they're flagged as an absentee and appear on the Absentees page, no manual work required.
Priority is calculated, not chosen
You'll notice you can't manually set a member's priority. That's intentional, priority is calculated directly from consecutive missed services, so it stays consistent across your whole follow-up team:
| Consecutive absences | Priority |
|---|---|
| 1 | Low |
| 2 | Medium |
| 3 | High |
| 4+ | Critical |
What each status means
As a member moves through follow-up, their status will show as one of:
- Unassigned - flagged, but no one has been assigned yet
- Assigned - someone has been given the case
- In Progress - at least one follow-up activity has been logged
- Completed - the follow-up has been marked done
- Flagged - the system couldn't determine who to assign this to automatically
- Skipped - someone intentionally chose not to pursue this follow-up
If you're seeing a lot of members land in Flagged, that usually means either your group categories or your follow-up team's location data isn't filled in for that segment.
