Recording a Visitor and Their Registration Details

Add a first-time guest to Sermfy through the Visitors admin form.

Where to add a visitor

From People, then Visitors, use Add Visitor to open the admin registration form, this is the same underlying record type used when someone self-registers or is added during Check-in (see Adding a First-Time Visitor During Check-In).

What the form captures

Basic details, name and contact information, plus a Location field, and a "Who invited you?" field that searches your real membership rather than accepting only free text.

Why linking a real inviter matters

Searching for and selecting an actual Member as the inviter (instead of typing a name) means that connection is queryable later, it shows correctly on both the visitor's and the inviting member's profile, and can be reported on. A name typed as plain text can't be linked back the same way.

If you don't know the inviter's exact name, search by phone number instead, it's often faster and more reliable than guessing a spelling.

Best practice

Record a visitor as soon as possible after their visit, ideally the same day, details like who invited them and where they live are much easier to get right while the conversation is still fresh.
