Best Practices: Choosing the Right Registration Method
A practical comparison of Manual, Bulk, and Self-Registration, and when each one is the better fit.
The three methods at a glance
| Method | Best for | Who fills it in |
|---|---|---|
| Manual | One person, occasional entry | Staff/admin |
| Bulk (spreadsheet) | Migrating an existing list | Staff/admin |
| Self-Registration (link/QR) | Events, welcome desks, new-member classes | The person themselves |
Recommendations
- Migrating an old system or paper register? Use Bulk Registration, and map your columns carefully rather than reformatting your entire source file to match Sermfy exactly.
- Running a Sunday welcome table or a conference? Print a Self-Registration QR code, it removes staff data-entry time entirely and lets people register while the interaction is still fresh.
- Correcting or adding a single known person? Use Manual Registration directly, it's the fastest path for one record and gives you full control over every field, including Family linking, which self-registration deliberately excludes.
Don't rely on Self-Registration alone as your only intake method. Because it skips Member Status and Family linking, a member who self-registers may need a quick admin follow-up to complete their record fully.
A common mistake to avoid
Running a Bulk import without first checking for duplicate phone numbers already in your system. Sermfy's duplicate check runs per-record, but a large import can still create near-duplicates if names are spelled slightly differently across your source file and existing records, a quick manual scan of your source spreadsheet first saves cleanup later.
