Bulk Registration: Importing Members from a Spreadsheet

How Sermfy's column-mapping bulk import works, including phone number normalization and inline row editing.

When to use this method

Bulk registration is built for moving an existing list into Sermfy, migrating from a spreadsheet, a previous system's export, or a paper register someone has typed up, rather than one person at a time.

How the import works

  1. Upload your CSV or Excel file
  2. Map columns - match each column in your file to the correct Sermfy field, name, phone, education, employment, and so on, rather than requiring your file to already use Sermfy's exact field names
  3. Review and edit inline - each row can be corrected directly in the browser before import, using the same conditional field logic as the real registration form (for example, Education fields only show as relevant based on Education Status, just like manual entry)
  4. Import - Sermfy validates and creates each row as a real member

Phone number handling

Local Ghanaian formats like 0241234567 are automatically normalized to +233241234567 during import, you don't need to pre-format your spreadsheet's phone column.

Branch assignment

If your account has access to multiple branches, imported members are assigned to your currently active branch by default, confirm the right branch is selected before running a large import.

Member Status and Member Type are optional here too, but a blank spreadsheet column will import as genuinely blank, not a default value. Fill these in in your source file first if your reporting depends on them.

Best practice

Run a small test batch, five or ten rows, before importing a full membership list of hundreds. It's much faster to fix a column-mapping mistake on ten rows than to review hundreds of created records afterward.
